AI and Business Automation

Booking-to-Invoice Automation for a Home Services Business

Industry: Home services | Tools: Wix, Zenmaid, QuickBooks Online, Stripe, Zapier

The challenge The owner wanted bookings and payments from her website to appear in QuickBooks without retyping anything. The existing website also had layout problems around the booking form, and the booking form itself was not set up to take payments.

What I did I connected the booking platform and the website to QuickBooks through Zapier, set up the accounting fields so records land in the right place, and rebuilt the booking form so it supports payments and shows pricing clearly. I also cleaned up the unwanted spacing that the embedded form was creating on the site. Everything was verified from the QuickBooks dashboard and documented with a screen-recorded walkthrough.

The result Each booking now creates a customer and an invoice in QuickBooks automatically. Payments made through the site are recorded without manual entry, which gives the owner a cleaner view of revenue.

Expert note Invoice automations break most often because of ordering and tax setup, not the connection itself. Creating the customer first, then the invoice, and configuring tax rates in the accounting tool before testing, avoids most conflicts.

Calendly and Zoom Automation for a Coaching Business

Industry: Coaching and education | Tools: Calendly, Zoom, Zapier, Google Calendar

The challenge A coach was running webinars and sessions through Calendly and Zoom. After one event, at least one invitee could not get in. She had no reliable way to confirm that every registrant received a working meeting link, and she was checking Calendly by hand to see who had booked.

What I did I reviewed the Zoom and Calendly settings, then built a dedicated automation for each Calendly event type so a Zoom meeting is created the moment someone registers and the link reaches the invitee. I also made bookings visible in Google Calendar, so she no longer has to open Calendly to see her schedule. I recorded a short walkthrough so she could test and own the setup.

The result The client tested the flow end to end and approved the work. Registrants now receive their meeting link automatically, and the schedule lives where she already looks every day.

Expert note Most meeting-link failures come from mismatched Zoom settings and account plan limits, not from the booking tool. Checking the Zoom side first saves hours of guessing.

Calendly Zoom automation

Website Forms to Salesforce: Leads, Accounts and Opportunities

Industry: B2B services | Tools: Wix, Zapier, Salesforce

The challenge A business owner was collecting enquiries through his website but entering them into Salesforce by hand. A previous attempt had left the setup unreliable, and some website forms were returning errors.

What I did I built the automation that turns each form submission into a Salesforce lead and opportunity, extended it to create accounts, and corrected the website forms that were failing to submit. I also fixed how first and last names were being combined so records arrive in the right format.

The result New enquiries now reach Salesforce on their own, with clean contact records. The form errors that were silently losing submissions were resolved, which protects leads the business was not even aware it was missing.

Expert note Before blaming the automation, test the form. In several projects the real fault was a broken or redesigned form upstream, and no workflow can fix data that never arrives.

Website Registrations to CRM Contacts (LeadConnector)

Industry: Wellness and community events | Tools: Wix, Zapier, LeadConnector

The challenge A wellness organisation ran recurring events and needed every person who registered to appear in its CRM so the team could follow up. Registrations were not reaching the database.

What I did I traced the break between the website and the CRM, rebuilt the connection through Zapier, and tested it with live registrations until contacts appeared reliably.

The result The client approved the work. Event sign-ups now flow into the CRM without manual exporting.

Expert note CRM integrations often fail on authentication and account structure. Confirming which account a tool is actually connected to is the fastest first diagnostic step.

Calendly Bookings to Keap CRM

Industry: Consulting | Tools: Calendly, Zapier, Keap

The challenge A consultant wanted each person who booked a call to become a CRM contact automatically, instead of being added by hand after the fact.

What I did I added the step in Zapier that creates or updates the contact in Keap at the moment of booking and guided the client through authorising his own accounts.

The result The automation was delivered and completed. Every new booking is now captured in the CRM the same minute it is made.

Expert note A booking tool is a lead source. Treating it that way, and routing it straight into the CRM, is one of the cheapest conversion improvements a small business can make.

Ticket Sales Notifications and Sales Logging for an Events Website

Industry: Live events | Tools: Webflow, Square, Zapier, Gmail, Google Sheets

The challenge An events organiser had an automation that stopped working when his payment processing moved to Square. Purchase confirmations and his record of sales both went quiet.

What I did I rebuilt the workflow around Square so every new purchase triggers an email notification and is logged to a Google Sheet. I also explained clearly which fields the payment form did and did not collect, and what would need to change on the website side to capture more.

The result Purchases are now notified and recorded automatically, giving the organiser a live sales log without manual copying.

Expert note An automation can only pass along data the source collects. Deciding what the checkout form captures should come before designing the workflow.

discord and gmail

Email Verification Codes Delivered to Discord with Make.com

Industry: Operations and shared access | Tools: Make.com, Gmail, Discord

The challenge A team needed verification codes, which arrive by email in several separate inboxes, to appear in one shared Discord channel so the right person could act quickly.

What I did I designed a Make.com scenario that receives the forwarded emails, extracts the code, and posts a clean message to Discord. It was tested against real emails until it handled the actual format they arrive in, and I trimmed the output to show only what the team needed.

The result The client confirmed the workflow was working and the job was marked complete. Codes now arrive in one place within moments.

Expert note Test with a real sample of the email, not a simplified one. Plain-text test messages pass easily, while production emails are formatted differently and expose parsing gaps.

Automatic Zoom Recordings Delivered to Clients (Acuity, Zoom and Zapier)

The challenge A teacher wanted every student to receive their own session recording automatically after a lesson. Her first requirement turned out to conflict with how Acuity and Zoom exchange information, and a settings change on her side had broken the earlier setup.

What I did I assessed the limits of the original request, explained them plainly, and proposed a workaround that met the real goal. I then built the flow so each booking gets its own Zoom meeting, the right student receives the recording, and calendar events carry the correct time and timezone. I adjusted reminder timing and date formats to her preferences.

The result The client accepted the recommended approach and confirmed recordings were sending out correctly. She was happy with the outcome.

Expert note When a requirement is not technically possible as written, the useful move is to say so early and redesign around the goal. Many of the best solutions come from that conversation.

Rescheduling and Cancellation Sync Across Acuity, Zoom and Google Calendar

The challenge The same client now needed rescheduled and cancelled appointments to update their Zoom meeting and calendar event, without disturbing the recording automation already running her business.

What I did I built the reschedule and cancel workflows alongside the existing ones, found a reliable way for the automation to match each calendar event to the right customer, and tuned the notification wording. When a few automations stopped, I traced the cause to account plan limits and recommended options.

The result After testing, the client confirmed the meeting link in the rescheduled calendar event matched the new Zoom meeting.

Expert note Every automation counts against a plan. Planning how many workflows a business actually needs, and consolidating where possible, prevents surprise shutdowns.

FAQs

What automation tools do you work with?

Zapier and Make.com are my main platforms, connected to CRMs, booking tools, accounting software, payment processors and Google Workspace.

Yes. I start by testing each step to find where data stops flowing, then repair or rebuild only what is needed.

Usually I work inside your tools. Where you prefer not to share logins, I can guide you through a screen-sharing session.

Simple integrations can take a day or two. Projects with several systems take longer, and I agree a timeline once I understand the setup.
